    Administrative Assistant

    Partnership to End Addiction is a national nonprofit uniquely positioned to reach, engage and help families impacted by addiction.     The Administrative Assistant will provide support for Family Services, including Helpline scheduling and training, Peer Support scheduling and training, resource management, and conference and meeting support. This position reports to the Director, Grants and Operations for Family Services. 

    Responsibilities of the job include: 

    • Demonstrate and reflect the mission and values of the organization
    • Proactively coordinate and collaborate with colleagues to fulfill mission and objectives of the job
    • Assist in operations of Helpline including maintaining helpline schedule, managing timesheets for part-time staff, coordinating the onboarding and training process, and general administrative support
    • Assist in operations of Peer Support Services, including scheduling and administrative support (scheduling, meeting reminders, responding to inquiries)
    • Family Services Department Meeting support: scheduling meetings, taking meeting minutes (as needed), updating agendas, etc.
    • Maintain and update department’s cloud filing system, contact database, various essential reports and presentations
    • Coordinate the Lunch and Learn internal educational meetings
    • Manage external conference logistics, including billing, collateral, travel, etc.
    • Assist with scheduling of appointments, coordinating meetings, and other administrative duties as assigned
    • Provide excellent customer service and timely responses to external stakeholders and internal staff, representing the organization in a courteous and professional manner
    • Collaborate with team leaders and assist in the execution and implementation of other duties as assigned

    Qualifications: 

    • At least two years full-time program or administrative support experience
    • Organized with great attention to detail, ability to establish priorities and meet deadlines
    • High degree of independent judgment and discretion
    • Ability to work successfully on a variety of projects simultaneously
    • Excellent verbal and written communication skills
    • Ability to interact and communicate with individuals at all levels of the organization
    • Demonstrated proficiency in Microsoft Office (including Outlook, Teams, Excel and Word) required

    Starting Pay Range: 

    $45,000 – $49,500 based on relevant experience and qualifications.

    Note: We are working in a hybrid capacity.  The Administrative Assistant will work in the New York City office at least one day per week.
